Reminders to Ministry/Committee chairs:

  1. Reserve a room for your meeting by calling the office.  You can check the online calendar to see if the space might be free.
  2. Each month prior to the Council meeting send to all Council members a report highlighting actions taken by your ministry and its committees. Read the reports of other ministries so that they don't have to spend Council time reporting on past actions.
  3. Each month prior to the Council meeting send a request to the Moderator to include any items for Council discussion or action. Copy members of Council, attaching any reading to be done in advance of the discussion. Read any background documents sent to you from other ministries so you are prepared for the discussion.
  4. Check your mailbox frequently
  5. Send your annual budget request to Stewardship Ministry by September 19
  6. Send your annual report to the office by Dec. 15 (before you change chairs!)
  7. By Dec. 15 send the office copies of the Minutes of all of the meetings of your ministry and its committees. Make a paper copy to pass on to the next chair of the ministry.
  8. Pass all ministry/committee notes on to the newly elected chair

At meetings of the CUCC Council, the ministries of the church keep each other in the loop, plan joint projects, and fine-tune items (such as the budget, nominations, resolutions for action) to bring to the congregation for decision.  Council is chaired by a Moderator who is assisted by the Past Moderator and Moderator-Elect.  Also on Council are the Treasurer and Assistant Treasurer, the Pastor, and the Clerk.  Finally, each Ministry has a representative on Council.  Just as in Jerusalem, Council is responsible for bringing major new initiatives to the congregation for approval; a recent example is the Justice in a Changing Climate Initiative.

Congregational meetings are scheduled for three times during the year:

  • January – yearly reports of the committees and ministries; vote on the budget; vote on slate of officers and members of committees and ministries; other appropriate business
  • Spring- appropriate business as required
  • Fall – discuss goals and objectives for the coming year; kick off pledge campaign; presentation of the proposed budget and of a proposed slate of officers and members of committees and ministries; other appropriate business
